00:00hi in this video we are going to go over how you can create tasks and also manage them in an
00:10effective way from within Salesforce so let's jump right in if you look at my screen now I
00:19am on a lead record and on the right hand side of the record page I have what we call the activities
00:28tab you'll notice if I go into an account a contact or an opportunity I will have this exact same
00:39activities tab on the right hand side of the record page so if I quickly scroll to an account
00:46record same if I go to a contact I still have it here and if I go to an opportunity record the
00:55activity tab is still in the same space so this is meant to be consistent throughout intentionally
01:03and for you to have a idea very quickly about where and how you can manage your tasks and activities
01:11from within Salesforce no matter the type of record that you are on so for the rest of this video I
01:18I am going to focus on creating and managing activities from a lead record page so you'll
01:29notice that under the activity sub tab we have a few types of activities that we can create and log
01:37the first one is log a call the next is a task and after that is an event let's go through each of these
01:46activities let's say I just had a call with this lead and I want to capture what was talked about so I'll
01:54select call as the type and enter some details related to it you can see that automatically it's associating
02:06the call with the name associated to this lead I can also choose to associate with an account but I'm
02:17going to go ahead and click save you can see on the timeline that the call was logged today and this
02:26timeline will start building up as you create more and more tasks let's say now I want to create a new task
02:34new task I'll choose or type in a subject select the type and enter some details again I can choose to
02:50relate it to an account it's already associated with the person on this record the task also asked me to
02:59enter a due date put that as next Monday choose to give it a priority market is saved you can now see
03:12that my activity timeline has been broken down into what was done already in the past the call was logged
03:19and what I have upcoming which is the call coming up on the 27th this month let's now go see how to
03:29create an event so first I have to select a subject or type it in next I'll choose the type of event
03:40that I'm trying to create choose to enter a description and following that an event also has an associated date
03:51date and time as well so we'll pick 30th and maybe go with 10 30 in the morning and choose an end time as well and choose to enter a location for it as well so I'll go ahead and save that
04:09now you can see my meeting it also appears in the upcoming section of my tasks timeline so this is how you
04:21create tasks and activities in Salesforce now let's jump into how you can manage them effectively from Salesforce for this will quickly go into the home page first on the home page you'll notice
04:38you'll notice we already have a section called today's tasks and events which will allow you to quickly see at a glance of what's coming up for the day
04:50you can choose to filter and sort of look at different views of your tasks so if I go to my tasks I can see all of my tasks listed like that
05:00and click on these blue links in order to get a more deeper view into what this task is related to
05:10however a better way to manage your tasks would be through the tasks tab that we have
05:16so if I click into that I can see details regarding all of my recently viewed tasks but I can always switch this view to see only all of my open tasks
05:28and I can click through each task from the left hand pane choose to edit any details around it or just mark as complete if I am done with it
05:40I can also look at different views such as overdue tasks only recently completed
05:46and also I can choose to click on this drop-down notebook that you see and select a different view if that suits me better in terms of me managing the tasks
06:02so you'll see in a Kanban view it looks much different where if you have to close off a number of tasks in the quickest possible way you can simply drag and drop
06:12from open to closed and it will mark it as closed in order to switch back I'll click on this drop-down again
06:19and then go back to the split view that I had before so let's say this call has been completed
06:26and it shows as completed if I want to go and look at some of my open tasks I can choose to edit them again by clicking at the pencil icon or hitting the edit button over here or I can just simply mark it as completed from here
