00:00hi in this video we are going to go over the concept of orphan budgets what we
00:07call in Salesforce and how you as a manager can go into those records which
00:14are generated as orphans and take the appropriate actions on them just to give
00:21you a quick recap of what orphan budgets are orphan budgets are basically created
00:29when there's not a budget defined in the system so in order so as an example let's
00:39just say you have defined a budget for Julie a rep in your team for months one
00:47two three and four if Julie now creates an opportunity in the system that runs from
00:56months one to six I only have budgets defined for her up until month four so
01:03instead of blocking the creation of the opportunity Julie can go ahead and create
01:09that opportunity with a flight period of all those six months however since there
01:15aren't budgets defined for months five and six for her in the system the system
01:20will automatically create budgets for those two months but mark them as
01:26orphans so basically if a budget does not exist for a particular rep for a
01:33particular time basically month and year the system automatically creates those if
01:39an opportunity uses though runs over that time frame so let's just see how that
01:46looks in practice in the system now right now I'm logged in as a manager and I'm in
01:52the budgets tab of the system if I click on all budgets it shows me all of the
01:57budgets that have been defined for all the reps in my team you'll notice that
02:02some of these budgets have a field called orphan generated and it's checked so the
02:09ones where the orphan generated checkbox is checked means that these are the
02:14orphan budgets in the system so basically what happened in this particular record
02:19is that I did not have a budget defined for Julie for this particular brand in
02:26Boston for this particular product family and this particular date so when Julie
02:33used an opportunity that ran over this particular date and used all of the other
02:39criteria in terms of the brand the market the product family etc she
02:44created this this orphan budget now if I click into a particular orphan budget
02:52again you can see that the checkbox here clearly signifies that this is an
02:57orphan budget now Julie's already created an opportunity so if I have to go in
03:05I'll now notice that orphan budgets are always generated with a zero value however we
03:12know that's probably not the case so when I do identify an orphan budget and I do have the
03:21necessary information now in terms of the budget amount for that particular month so it might not
03:28happen instantly but when I do I'll just find that orphan budget that's been generated and I have to
03:34update the amount so that all of her pacing and budget information is calculated accurately
03:40obviously if it's still a zero amount she won't be able to see accurate information regarding her
03:49pacing and if she's meeting her numbers for that time frame and for that particular brand market product
03:57for that family now in order to edit the value of an orphan budget we just click on the pencil icon
04:04let's just say now I know that for the month of September for Boston this particular brand and digital I
04:11now know that her budget is 3,000 so I simply click enter 3,000 and click save now this orphan budget has been updated with a value and now this budget is complete and it will reflect all her numbers accurately and you can see that that it
04:31updates are basing information and all of the other numbers that we use in order to capture basing information accurately in the system so that's pretty much all you have to do in terms of changing the value from zero to the appropriate amount for any orphan budgets that are generated in the system
