00:00hello everyone welcome to the first module of your salesforce training in this module
00:09we'll be going through a basic 101 introduction to salesforce we'll help you navigate through
00:17salesforce introduce you to some basic salesforce concepts and hopefully this will serve as the
00:24basis for you to make more sense out of the rest of the modules which dive a little bit deeper into
00:32how the functionality and the specific use cases work so a quick preamble we spent the last few
00:42months customizing and developing salesforce for you and hopefully with this introduction
00:49you'll be able to navigate through salesforce with a lot more ease and really understand
00:56the value that salesforce brings to your organization now the real strength of salesforce
01:03is that it not only allows you to customize and really cater the platform to your needs
01:11but also the ease of use that it brings and hopefully with this module you'll get a sense
01:18for that so with that i'll get started the basic agenda for today is to cover a few basic concepts
01:28we will start with the login and search capabilities and then give you a quick rundown of how the home
01:35page works what the tabs are and from there we'll go into what objects and records are in salesforce
01:49so with that let's get started
01:53let's start with the login
01:58now salesforce has what we call different environments
02:03where i'll be guiding you through this training is called a sandbox environment this is where
02:09you will jump in and do your training as well as play around with the data a little bit
02:15keep in mind that this is a test environment and that all data in this environment are is not real
02:23the first link that you see on this side will help you get to this org
02:34following the training period however we will be giving you access to what we call the live environment
02:41and this is where you will start to really use salesforce for your day-to-day and your work
02:47look out for an email following the training period telling us uh telling you rather sorry
02:55that we've activated this org for you and we'll provide logging instructions uh for that as well
03:00but for now we will be using the sandbox environment which is the first link that you see
03:09just a quick note that once you do arrive at this link
03:12uh make sure to sign in using the secure sign-on that you see rather than entering an email and
03:21password i'll go over how you can log in right now
03:27so once you click on the link you'll be brought to a page which looks very similar to this
03:33notice that there's a box for you to enter your login credentials
03:37uh however as i mentioned before we will be using the azure single sign-on button to sign in
03:46once you click into this button you can connect your microsoft account and log in using that
03:56once you log in you'll be brought to a page which looks very similar to this
04:01for the purpose of this demo i've logged in as julie and will be using her as an example to guide you
04:09through the rest of this module
04:13this is called a home page and it's sort of like the hub for all your activities and tasks as well as
04:21giving you a snapshot what everything in your system for you looks like at this moment we'll dive a little
04:28bit more into the components which make up the home page but for now let's start at the very top which
04:35is the search bar
04:39now the search bar in salesforce is actually incredibly powerful and it's your one-stop shop
04:46to find any records that you want to navigate to within the system
04:52it operates much like think of a google search however it will scour through any record in the
05:00system and identify it for you whatever you're looking for so let me just give you a quick example
05:09you can see just by typing a few words
05:12uh it's already prompting all the results uh that are here within the system that match
05:21the first few letters here
05:24keep in mind that when you do search uh using prompts it will only display the top five records
05:31however if you want to get a deeper look at all the records in the system just hit enter
05:37and i will bring up a list of all the records uh which are in the system that match whatever you just
05:46typed in so for this example i can see that i have a bunch of accounts that match this uh criteria a few
05:55contacts as well and also keep in mind that it's showing you that there's five plus results
06:01uh while it is only showing five so if you want a deeper look just make sure to hit the view more
06:09button on the right and that will bring up the full list of records for you that match this criteria
06:19so now that we've seen how the search uh functionality operates and works in salesforce
06:25let's now jump in to the next section which are the tabs
06:31the tabs in salesforce are located directly below the search functionality
06:38you can see here your home for example is a tab chatter tasks so on and so forth
06:46so what the tabs are are basically buckets of information that help you navigate to a particular
06:55uh side within the system
07:00one easy way to know which tab you are currently on is to see the blue highlight
07:07so for example now that i'm on the home page the home tab is highlighted if i click into the next tab
07:15that will become highlighted and it's always a good source of reference for you to know
07:20where you are especially when starting out using the system so i'll click back on home
07:27and i'm back to the home tab so just like this we have leads accounts contacts opportunities budgets
07:36reports and dashboards the home tab is self-explanatory this is your home page as we talked about and
07:44this is where you land when you first log in to salesforce chatter is an internal communication tool
07:53we'll go a little bit more into the details of what it is and how it works a little bit later
08:01tasks are simply that it will bring you to a list of all the tasks you've completed
08:06all the tasks that are yet to be completed we can arrange the views but it's basically a source of
08:13your activities leads are your leads again self-explanatory accounts are the accounts that you are
08:22working with or on at this moment or in the past contacts refer to the people associated with the
08:31accounts and opportunities are basically the salesforce terminology for deals so any deal
08:40is listed as an opportunity within salesforce the next one is budgets again when you're selling it
08:50will give you a quick view of what how you're pacing against your budget so on and so forth and then we
08:58have reports and dashboards that basically compile the information for you within the system and will
09:05help you visualize and sort of see how you are doing in your performance by combining different sources of
09:12data again we'll have a separate section for reports and dashboards to help you make a little bit
09:19more sense of how exactly these are made how they work and how you'll be able to edit them going forward
09:25so in line with what i have mentioned before the real power of salesforce is the flexibility that it
09:33offers you and this is a good place to show you exactly that if you hit on the pencil icon to the right
09:42of your tabs it will pull up a list where you can sort of rearrange any of the tabs however you want and
09:51this does not change the view for everyone but rather only for what you see when you log in so if i just
09:58drag and drop something above or below and hit save you'll see it's automatically been updated
10:07to reflect the view that suits you and it's right for you
10:10so with search and tabs uh out of the way let's now jump into what the broader home page looks like
10:22and dive a little bit more into each component within it
10:30so the home page is basically giving you a snapshot for all of your activities and all of your data
10:38pertaining to you within the system what that means is that it is dynamic and is only populated with
10:47information that is relevant for you so if someone else logs into salesforce the home page for them
10:56will look a little bit different from what it looks to you because it is made up with data that's
11:02relevant for them versus you there's a virtual component at the very top of the home page which
11:10uses salesforce ai intelligence and it's sort of prompting you actions that might have slipped your attention
11:20by automatically bringing them up into the floor for you
11:24so this is what the assistant component looks like like i said it's already telling me a couple of
11:36opportunities for example that i've had no activity and maybe requires my action at this time
11:43uh now keep in mind that this is not a beyond and at all in the sense that it uses uh salesforce logic to
11:55try its best to bring up items that require your attention but there are other ways to monitor such as
12:03tasks and events right below that will also help you keep in mind what you have to do today and what's coming up in the future
12:14so directly above that you'll see some action buttons the first one is the favorites button
12:23you can see by clicking the drop down right below it that it will pull up a list of any items
12:31or records or pages that i have marked as my favorite within the system now in order to favorite
12:40something you simply click on the star button and this will add it to your favorite list of favorites
12:50if you want to go directly to something that you have favorited before
12:54simply pull the drop down click on it and you're there
13:00so i will go back to the home page and guide you through the next button the plus icon that you see is
13:07called the global actions now the system has some predefined global actions which make it easy for
13:14you to conduct an activity or do something right from the home page or from any page for that matter
13:22by just clicking on it and choosing it so you can see we've defined creating a new lead new opportunity
13:31so on and so forth the question mark which is the next button is sort of your help and guide menu
13:40as we go through training you can you'll be able to see the training videos uh shorter training videos
13:48listed here and as well as a link for you to go to the learning center in order for you to access the
13:55full range of videos that we've created for you right under we have some salesforce defined videos that
14:02could help you get a quick start and make more sense of how you should use the system starting out
14:09and also below you can access other salesforce resources which is their own learning platform
14:15called trailhead in order to get a deeper sense if you need to
14:21the bell icon that you see is the notifications so if you click on it it will directly pull in
14:30any notifications that are relevant for you someone might have tagged you in something using chatter
14:37again we'll dive into chat chatter a little later but there are other items such as tasks upcoming
14:44which automatically get pulled into the notifications as well finally the last one is your settings and
14:54avatar menu you can see by clicking on this it will pull up your avatar which you can change at
15:00any point as well as offering you a place from which you can access your user settings again which we
15:07will dive into a little bit later and you can log in from here as well
15:15so jumping back into the home page components right below the assistant you'll see today's tasks
15:22and this lists any tasks that i have upcoming for the day here you can see that i have a call coming up
15:30for today and if you click on the drop down over here you can change your view to toggle between
15:39your own tasks any overdue tasks and etc directly beneath it you have today's events
15:47events we'll go into a little bit more detail as to what exactly distinguishes tasks from events a
15:55little bit later but for the time being think of them as being meetings for example as opposed to
16:03some activity that you have to do and beneath that you have the recent record section so this is
16:10particularly useful when you are maybe working on a particular account or working with a contact for
16:17example and you have a place that pulls up all of the recent records that you access so that every
16:25time you log into the system it's right there for you and you don't have to go searching for it
16:31so there are multiple ways that we have just talked about uh how Salesforce makes it easy for you to
16:37access the records that you need to at the click of a button you can favorite it you can use the search
16:44bar or you can use this recent records
16:50so a quick thing to mention at this point and maybe you've already noticed it so far
16:55is that any item marked blue is clickable that is you can directly navigate to that page by clicking on
17:04it so this operates much like a web page for example so anything we see within the system in blue allows
17:12me to click into it and access the record right there
17:20now to the left of the screen we have what we call your personal dashboard
17:25and what this is doing is basically visualizing all the relevant data using multiple criteria
17:34so if you look at the first component it's aggregating your budget versus pacing
17:39and then if we scroll down we can see other ways in which it will slice and dice the data
17:45data and visualize it for you so we will dive into reports and dashboards more later at a later module
17:56but just know that when you log into the home page to the left is your dashboard where you can access all
18:03sorts of information and visualizations right from the home page now if we scroll down a little bit
18:11we'll see the new section similar to the assistant this is also using salesforce ai to pull up
18:21what it considers relevant information for you in terms of maybe accounts that it has identified
18:28you've entered and automatically pulls up some news related to it this is sometimes useful
18:35in case there is some big news coming out from one of your accounts and maybe worth a quick glance
18:42when you log in start of the day for you to see if there's anything interesting that will help you
18:49tailor your approach to an account for example and if we scroll a little bit further down you'll see the
18:57last few components uh key deals which are the recent opportunities that you've been working on
19:06you can always click the view all key key deals to bring up a more comprehensive list
19:11otherwise it will only show you the top five right beside it we have your accounts
19:18again it'll only pull up the three most recently accessed accounts but you can click into more to
19:24get a deeper view into it and beneath the opportunities is your recent contacts so again very similar to the
19:33above uh it just pulls up your recent contacts that you have accessed so as you can see your home page
19:41is meant to be sort of like a quick start for you when you log in first thing in the day it's capturing
19:48all your recent activity and the places and records that you have accessed uh recently and it's meant to help
19:56you sort of save time looking for records more than anything else by exactly remembering where you left
20:03off when you first logged out last night
20:07so next let's jump into what we call objects and records in salesforce
20:12so the tabs that we talked about before each refer to an object in salesforce so for example leads is an
20:24object accounts is an object contacts is an object so on and so forth how you can best think about an
20:32object object in salesforce is basically something which stores a bucket of information so accounts store
20:41all my accounts so accounts is considered an object in salesforce so by clicking obviously from the home
20:51page and any of the tabs i can access these objects for the example here i'm going to click into the accounts object
21:02as soon as i click into it i'm brought into the what we call the object home page in salesforce
21:11now one thing to keep in mind is that when you're logging into salesforce for the first time
21:17salesforce automatically gives you a list of all the recently viewed accounts that you see
21:25so if you're logging in for the first time you haven't really accessed anything yet so this list
21:32will be empty however as you start to click and create accounts this list will start to build up over
21:40time now one thing you can do is access different lists that we have created from you from this object
21:50home page so the first one would be for example my accounts and we've pre-configured other lists for you
21:58to quickly bring out information that you want to see and click into all accounts
22:06as well as all the other list views that we have created for you
22:12so each of these are called list views in salesforce
22:18now when you're logging in for the first time maybe
22:21you don't want to see an empty recently viewed list that we talked about before
22:28so the pin icon here right beside the name of the list will help you to pin this for you
22:36what this means that if i navigate back to the home page and back to the accounts object at any time
22:46this is the view that is going to be pinned for me so it just makes it easier if you just want to
22:52look at your accounts for example uh it's a good way to keep that information and list saved for you
23:01so that you don't have to go through other records
23:07you can follow the same logic for any of the other objects for example if i click into contacts
23:13will be brought to a very similar screen with the recently viewed initially
23:19displaying you all of the contacts which are present and again if we click into opportunities
23:26it will give you a list view of all the opportunities again for each of these objects we have pre-configured
23:34some lists for you to make it easier to only pull up relevant information for you
23:40and again for all of these you can pin different lists so that you are only seeing information that
23:47you want to see in the easiest possible way so i'll go back to accounts and show you a quick example
23:56so now that i've pinned my my accounts as the list view that i want to see i can do a lot more with it
24:03let's say now i see that i have one of my accounts in fort myers whereas i'm working in tampa and only
24:14want to see all of my tampa records this is a good place for you to start thinking about how you can
24:23customize this list views so that you make it even easier for you and really take advantage of the
24:31flexibility that salesforce offers for you now in order to do that notice the little funnel icon
24:39to the right if you click into it it will pull up the filters that are used in this list view now this
24:50list view for example is locked because we have pre-configured it for you however if you click on the
24:57gear icon which says list view controls you'll be able to clone it and let's just say i want to clone it
25:08give it a name
25:15and say that only i want to see this
25:18and just like that we've created a new list view which you can now pin or do and slice and dice
25:29however you want to now you'll notice that now that i've cloned this list view for myself i have access
25:36and opened up access to the filters so i can use different filters to view different kinds of
25:42information in this list so let's go ahead with the example that i mentioned previously where i said i
25:51want to view all of my tampa accounts and not really the fort myers one that i'm associated with
25:58so i'll click on add filter and this will allow me to access all of the fields by which i can filter
26:06i will go to the market for example which i can see from here and type in tampa
26:19hit save and it's automatically filtering by only my tampa accounts
26:27this will be saved and now i can access it anytime from my list of drop downs
26:37so now that we know what objects uh refer to in salesforce let's try and think about
26:44how it is different from what we call records within salesforce so if you think of
26:53accounts as being the umbrella or the object in the system a record for example would be a particular
27:01account created by you or any particular account stored within the object of accounts in the system
27:10i'll show you what i mean
27:14so by clicking on the accounts tab i'm brought to the account object homepage
27:21now under this i have a list of all these accounts each account listed here is a record
27:30and i can access it again by clicking on the blue link which i mentioned before
27:37under the account name and it will take me to the record page
27:45so this for example is what an account record page looks like
27:49so i'll click into the accounts object again and go to a different account record
28:00again this is the account record page and this is where sort of the details pertaining to your account
28:06live in the system as soon as you're brought here you can see there's different fields which list
28:16different sorts of information pertaining to this account you can always edit fields which
28:25are editable by you in the system by clicking the pencil icon beside it
28:30or by using one of the action buttons on the top right the edit button for example in this case
28:39you'll notice beside the edit button there's other actions that you can take from it using the
28:44buttons so you can create a contact associated with this account directly by clicking this
28:51you can create an opportunity or deal directly associated with the account from here and if
28:58you click on the drop down you can see some other actions that you can take as well
29:04beneath the action buttons you'll also see highlights of information which are relevant for
29:10you pertaining to this account right above the detail section so scrolling through the detail section you
29:20can see a range of fields identified which would be useful in terms of keep it track of information
29:29related to this account there are subheadings within the detail section as well so let's just say you
29:38don't want as big of a view when you first log in to see the record in this case you can always collapse
29:46these sections to make it easier and more viewable for you and salesforce actually remembers if you've
29:53collapsed a section so the next time you also navigate to this record uh or any other account record for
30:01that matter it will remember that you collapse these sections and you can always toggle between toggle to
30:07have those on versus not right above the detail section you can see uh sub tabs related to this account
30:18now these operate very much in the same way as the tabs on top that we talked about before but these tabs
30:26are more uh specific to these accounts and house different sorts of information for you pertaining to
30:33this account right now you can see with the blue highlight under details that we are in the details
30:40section for this account however if i click on the next section agency landscape you'll be brought to a
30:47different uh view related analytics so on and so forth we'll jump into what each of these
30:59mean and what you can do using each of these sub tabs but the general just get a general idea that even
31:07within a record there are different sub tabs allowing you to take different actions from within that record
31:14so to the right of the detail section you'll see what we call the activities section in salesforce
31:23and this is where you track and log all your activities related to this particular record so that
31:30it is saved in a place within that record and you don't have to go looking through your activities list
31:38or anything when you're trying to find all of the relevant activities for this account
31:46so you'll notice that there are three types of activities that you can do log a call create a new
31:53task or create a new event now let's just start uh first by saying that these activities are not meant to
32:01to sort of gauge your performance or anything but it's more for you to help you keep track of uh what
32:09you are doing pertaining to this account in this specific example and for you to remember what was done
32:17before so it's more of a help for you rather than anything else
32:21so now that we are on the log a call activity type let's just see how it works we'll click into this
32:32recap your call let's say i had i just had a call and as soon as i click that recap button it
32:41opens up the log a call menu where i can enter specific details and maybe enter something
32:51just for me to remember hit save
32:59and you'll notice that the call has been logged so beneath your activity section you can see any
33:07activities in terms of like a timeline view that you've conducted or are upcoming so there's a very
33:14good way for you to keep track of what's really happening and going on
33:18so the next tab is the task again let's say i want to create a new task and create an upcoming call for
33:29for example
33:41i can put in a new due date for it next monday
33:48toggle between some priorities if i want to save
33:52again it will create another call and it will let me know exactly when it is i can click into the task
34:05from here to go to it or i could even click onto the task tab in order for me to see exactly
34:14what's happening and switch between list views much like what we did for the accounts object a little
34:22while ago so here we can see i can toggle between open tasks recently completed tasks
34:30and the whole lot so i will go back to the accounts find my account again where i just was and let's now
34:41say that uh the upcoming call today is done and i want to close this task i can go to the record itself
34:51like i just did or simply hit the check mark here and it will automatically update it
35:01so the next tab that we see is an event so what really distinguishes a task from an event
35:09is that an event has an associated date and time uh specific time when it happens
35:16so task may have a due date but an event has a set time associated with it as well so again uh very
35:25similar to how i just created a task before if i want to create an event i'll just pick some list of
35:32options put in a description if i choose to do it and then have a time associated with it which i can
35:40choose as well and enter a location for it as well and hit save so the activities tab over here that you
35:55just saw and the detail section and the buttons on top we've kept this consistent for any object that you
36:05go to so for example it will look very much the same if you are in the leads object in a leads record
36:14or an opportunities record let me just show you and this uniformity is just meant to help you
36:22sort of keep track and not get lost as you're starting out using the system you can see a similar
36:29view for the leads and if i go into an opportunity for example it's much of the same
36:38so right beside the activity we have chatter as well and let's now dive into what chatter is
36:47and how we can use it to maximize efficiency while collaborating with others internally in the system
37:01so like i just mentioned chatter is an internal communication tool that really helps you work with
37:08others in your team or get information from other people or even talk to your manager regarding a
37:15specific record within the system what it's meant to do is save time for you we are getting rid of those
37:25emails that you have to deal with every day when you can just use chatter if it's communication based
37:32around a specific record within salesforce for example so no point in you scouring through all your
37:39emails when you can just see it within the system uh right there the real benefit of chatter is that it
37:48is contextual what that means is that if i chatter someone on a specific record i don't have to go searching
37:57for it if i can if i chatter my manager for example they will automatically get a notification and they can
38:05click on the link right there and go to the record where you chatted them on saving them time looking
38:14for records and saving you time from not having to do any email communication with them so let's now
38:21see how it actually looks in practice within the system
38:27so coming back to my account and on the chatter tab again highlighted in blue you are on the right tab
38:34i can post something so let's share an update
38:40i can use the at mention sign and talk to any person in the system so for this example i i'll use wes then
38:49maybe send a message
39:07and i'll simply hit share
39:09what this now does is that it will notify wes that i've made an update and uh sort of tagged them in
39:20this and when they log in they'll be able to see via a notification at the top right that they've been
39:28tagged on this record so just by clicking on the notification much like what you see here
39:34they'll be brought to a screen where these where it mentions where they were tagged
39:44and if i click on the record i'll be navigated to the page where i was tagged
39:51so going back to the account where i was
39:54if i go back to chatter wes can now simply comment back here saving us both time
40:06we'll dive into more specifics of what the best way and how to use chatter effectively while managing
40:12your opportunities or leads but this is just meant to give you a starting idea of how it can be
40:19beneficial for you
40:23so if you look closely you'll see that chatter has sort of a social element built into it
40:29in the sense that you can like comment share post all of that good stuff
40:35so obviously it goes without saying that you have a profile for it as well so if you want
40:43to set up your chatter profile which is what you should do initially you can simply click on this
40:50avatar icon which we mentioned before click on the avatar and it will bring you to your chatter profile
41:00so from here you can see i have a list of information that i can choose to edit with the button in the top
41:08right and then scroll down and see all of the chatter mentions uh that i've been a part of for any updates
41:16that chatter captures
41:22with regards to notification we mentioned that every time you were tagged for example you get a
41:27notification in the notification bell uh this is great starting out uh when you're just familiarizing
41:36with yourself with the system and getting updates on records that you own all the time or when other
41:42people mention you however you can also change your notification preferences specific to chatter so again
41:51in order to do this click on settings from your avatar menu
42:00then find chatter
42:02email notifications
42:06and here you can choose to receive email notifications as well as notifications within
42:12salesforce and you can even go deeper as to what sort of notifications you'd like to see versus not
42:21so starting out it's probably good practice for you to have them enabled for all of them but as you're getting
42:28more and more familiar with the system uh maybe you don't need that extra email uh to
42:35to be sent to your inbox and you can monitor everything
42:38from within salesforce so you can just toggle this off
42:42and you won't receive any emails accompanying any chatter mentions that you already see within the system
42:49there's also other settings in terms of what kind of notifications you would like from your groups and everything
42:54uh that's for you to tailor to your preferences and for you to find out as you get more familiar with the system
43:06so you'll also notice that there is a chatter tab that we saw
43:10uh if i click into it uh i can see all my chatter mentions and all of the activities that chatter has compiled for me
43:21at the click of a button here
43:25so another interesting thing that you can do in chatter is uh sort of follow other people and their updates as well
43:35what i mean by that is let's say i want to follow clay and monitor his updates on chatter
43:43if i hover over his name i can simply follow him so that all of his notifications are also showing up
43:51on my chatter tab when i click onto it if i click into wes's profile i can follow him from here as well
44:00as well as see some information uh for him however i can just hover over any name and follow them on chatter
44:12as well now as you start to create and become part of groups your groups will also start appearing here
44:20and you can choose to monitor chatter notifications from a particular group as well
44:25so hopefully this all made sense for you uh we've gone through a general rundown for what the system's
44:36like how you can navigate through it and at this point if you have any questions feel free to bring
44:44it up during the qa session question and answer sessions or just email us directly
44:50uh hopefully you've gotten something from this and uh don't worry we will keep building on this initial
44:58knowledge uh in the further modules so thank you guys very much and have a great day
