00:00Hello, and a very warm welcome to you. Today, we're going to dive deep into a tool that is,
00:05believe me, incredibly powerful and yet so beautifully simple, the 5S methodology.
00:11Here at Unified Consulting Solutions, our entire mission is to simplify complexity,
00:16and honestly, 5S is the perfect example of that principle in action.
00:20You know, all our work is built on one core belief, real, powerful results that come from
00:26strong foundations. Before you can even think about all those advanced lean tools,
00:31you first have to create an environment where excellence can actually take root and grow.
00:35And that right there is exactly what 5S is designed to do. Think of it as the bedrock
00:41for a culture of continuous improvement. All right, ready to jump in? Here's the
00:45roadmap for our journey today. We're going to start by looking at the hidden cost of chaos,
00:50you know, the one that quietly eats away at our productivity. Then we'll build up the 5S
00:55foundation step-by-step. We'll look at the very real tangible benefits you can expect,
00:59and we'll wrap up with how you can get started on your own 5S journey.
01:03Now, by the end of our time together, you won't just know the theory. My promise to you is that
01:08you'll see its direct link to eliminating waste. You'll understand the practical application of
01:13each and every pillar. You'll be able to identify the real world business benefits. And most importantly,
01:18you'll see exactly why 5S is the essential first step towards building a true culture of
01:24improvement. So let's start with the big question, shall we? Why do we even need a system like 5S
01:29in the first place? Well, the answer lies in tackling what I call the cost of chaos. It's the
01:35silent drain on our resources that we often just learn to live with, but we absolutely shouldn't.
01:41Just think about this for a second. A staggering 70% of projects go over budget. Now that's not just
01:47to run a bad luck. No way. It's a symptom of a much, much bigger problem. The systemic chaos and waste
01:52that's baked into the way we so often work. And that is precisely the problem 5S is designed to
01:57solve. To really get the solution, we have to go back to the origins of lean thinking. This powerful
02:03quote from Taichi Ono, the genius architect of the Toyota production system, it gets right to the heart
02:09of the matter. The central mission is the relentless, almost obsessive elimination of muda, which is the
02:15Japanese word for waste. So what is this waste exactly? Ono broke it down into 8 key categories.
02:23You have defects, which force you to do work all over again. Overproduction, making more than you need
02:29right now. Waiting, just waiting for parts, for information. The incredible waste of non-utilized
02:35talent in our teams. Unnecessary transportation. Inventory that piles up and hides problems. Wasted
02:41motion. People running around. And over-processing. You know, adding bells and whistles that no one
02:46even asked for. These are the silent killers of our productivity. So how do we fight back against
02:52all this waste? Well, we start with a solid foundation. You see, 5S isn't just about tidying
02:57up a bit. It is the first crucial step in building a culture that actively hunts down and eliminates
03:03waste, making problems immediately visible so we can solve them. The 5S methodology is a five-step
03:10process for creating and maintaining a workplace that's organized, efficient, and safe. It's made
03:15up of sort or seri, set in order or seitan, shine or seiso, standardize or seikitsu, and finally sustain
03:25or shitsuke. You'll see how each step logically builds upon the last to create a really powerful
03:30system. Okay, let's break this down even further, starting with the first two steps, which are,
03:35I would argue, the most transformational. Sort and set in order. This is where we really begin
03:41to clear the fog of chaos and create an environment of pure clarity. The first step,
03:47sort, or seri. It's so simple in concept, but so profound in practice. It's all about looking at
03:53everything in a workspace, every tool, every piece of paper, every single file, and asking one very
03:58simple question. Is this essential for the work being done right here, right now? If the answer is no,
04:04it goes. The goal is to eliminate that clutter at its source. And the visual transformation is
04:09just dramatic. Look, on the left, you see a typical cluttered workspace. It's full of distractions
04:15and maybe even potential hazards. But on the right, after a proper sort, the change is immediate.
04:21The space is safer, it's more efficient, and it's ready for focused, productive work. You can feel the
04:27difference, can't you? So, once we've sorted out everything that's unnecessary, we move to step two.
04:33Set in order or seitan. This brings that famous old saying to life, a place for everything and
04:39everything in its place. We strategically arrange all the essential items for maximum efficiency.
04:45And by doing this, we directly attack the wastes of motion and waiting. And just look at the impact
04:50here. On the left, so much valuable time is lost just searching for things. That searching is pure,
04:56non-value-added waste. On the right, after implementing set in order, everything has a designated,
05:01logical, visual home. All that wasted time is now converted directly into value-added work.
05:07It's that simple. So now that we've cleared the physical and the mental clutter with our first
05:13two steps, we move on to the pillars that make these improvements actually last. Shine, standardize,
05:19and sustain. These are all about locking in our gains and turning these new, better behaviors into
05:25permanent habits. Step three, shine, or say-so, is so much more than just cleaning up. I want you to
05:32think of it as proactive maintenance. As we clean our workspace and our equipment, we are also inspecting
05:37it. We start to notice that small oil leak, the frayed wire, the worn-out tool, before it causes a
05:43major breakdown or a safety incident. Shine helps us see problems when they are small and easy to fix.
05:48Step four is standardize, or seiketsu. And this one is absolutely crucial, because without it,
05:55even our best improvements will slowly fade away into old habits. Standardization means creating
06:00clear rules and visual cues, things like checklists, color coding, schedules, to make the first three S's
06:06a consistent daily habit for everyone involved. And finally, we arrive at what is often the most
06:13challenging, but also the most important step, sustain, or shitsuke. This is the discipline that
06:20turns 5S from just a short-term project into a long-term culture. It requires real leadership
06:26commitment, regular check-ins, ongoing training, and recognition to make sure that the 5S mindset
06:32becomes a part of your organization's DNA. Now that we've walked through the how, let's really focus
06:38on the why. What are the measurable, data-backed results of committing to this methodology?
06:43Because the impact isn't just about feeling better in a tidy space, it's about performing better,
06:48and it absolutely hits the bottom line. The data here is incredibly compelling. Studies have shown
06:53a 50% reduction in the time we spend just searching for tools and information. In India, firms using 5S
07:00have managed to cut project lineups by up to 20%. And get this, pilot programs in Tamil Nadu have even shown a
07:07direct 18% return on investment. These aren't just feel-good improvements. These are tangible gains
07:13that impact the business. And the benefits just ripple outwards from there. A clean, organized
07:19workplace is inherently a safer workplace. When problems are made visible, quality naturally improves.
07:25When you remove obstacles, workflow is enhanced. When people are empowered to improve their own
07:30environment, morale goes out. And crucially, 5S creates that stable foundation you absolutely need to
07:36successfully launch more advanced lean tools like value stream mapping or Kaizen events.
07:41So, let's bring it all together now. We've seen how this simple, five-step system can bring order
07:47from chaos and unlock truly significant improvements in performance. Let's do a quick recap and then talk
07:53about how you can get started. So, to quickly recap, we've seen just how costly workplace chaos can be
08:00to our projects. We've walked through the five pillars. Sort, set in order, shine, standardize,
08:07and sustain. And we've looked at the very real, measurable benefits of this system. You now have
08:12the foundational knowledge to start building a true culture of continuous improvement in your own
08:17workspace. You know, the journey to operational excellence is a continuous one. And we really invite
08:23you to continue learning with us. At Unified Consulting Solutions, Dr. Marie Mathouquet is dedicated to
08:28helping people on this journey. So, please join the conversation in our LinkedIn community by following
