00:12broadcast group I'm Tom Green and I will be walking you through the revision for
00:17spot review content revision for the spot that's on air extend dates and we'll briefly touch on a
00:24copy option at the end of this so the primary purpose here is changing content that you may
00:33have that's been produced or you've got a spot on air and something needs to change so how do you
00:39do
00:40that and preserve the integrity of the record inside of PPO we're going to start with spot
00:45review that's the number one best use for revision you've asked for a spot to be produced the client
00:51needs to approve it before it goes to air and there's a problem they don't like something
00:57something needs to be changed the way you do this and we're going to look at this real deal used

01:02pre-christmas sale it's in spot review I have played it for the client they don't like it I use
01:09the
01:10check box in the upper left hand corner and it gives me some tiles above I use the revised tile
01:17in this particular case and it sends me to what we call the to-do list in which it gives
01:22you basic
01:23instructions at the top of the page revising a spot make your changes add a blog message let everyone
01:29know what changed and then submit so you see the outline of the spot here and we come in we
01:35click
01:36the client name it opens up the details you're going to get a couple of things here first of all
01:42you're going to have a blog message this is where you explain to both traffic continuity
01:48and production how this is going to change how it affects those departments specifically so if um
01:56you know the spot hadn't been on air for example then you would be saying uh hey client asked for
02:02new
02:02music bet traffic no changes or if the spot had been on air we'd be ending the spot and putting
02:09in
02:09further instructions so for sake of argument we're going to say this spot hasn't been on air yet
02:14and I'm going to simply say client asked for new music bed
02:25no traffic changes if by chance I had to move the schedule back then I could go ahead and say
02:33traffic moving the schedule back whatever it happens to be but a note again that explains to both traffic
02:38and production what happens to be going on here and then in the body of the of the order you're
02:44going to have to give it a new due date when do I need this particular project done by um
02:50and then
02:51you're going to you may have to in this case because I have older content pick out new start date
02:58ideally if it if it's um been on air you would you would use the revision to end this so
03:06then you would make any other changes on the order that would apply for instance if it were a
03:11copy change there was a mistake in the script you'd want to update the script so that would be the
03:17process for when it is in spot review and you want to put it in a revision process it'll come
03:25back
03:25around for traffic and production as a revision and the first thing they're going to do is go to
03:30the blog message to find out what's going on the second use of revision is for a spot that is
03:37on air
03:38and has aired for one day or many days and now the client says hey we got to end in
03:45this and do
03:46something different so you can find that in one of two ways I went to the on air folder for
03:51this seller
03:52or you could use the search menu in the right hand upper corner search by the client name we've got
03:59this client bare bones butchering and they have a deer season spot that's on air and deer season's
04:04over whoops we must put in the wrong end date for this originally so we need to end it earlier
04:10than
04:10planned we don't want to wait to 12 8 so we use the check box and we use the revise
04:16tile just like we
04:17did before and just like before we end up in this to-do screen we open up the production order
04:26we're going to get the blog message right away so in this case we are ending the spot ASAP
04:43so we know what's going on both traffic and production can understand that particular note
04:49if you do have replacement copy adding new spot to start tomorrow
05:02we've got an explanation in here so we come down and we give it a due date
05:08when do I need this done by well I need it done by today I'm leaving my start date
05:18alone because I want to preserve that record of that piece of history and now I'm updating my
05:23end date to today so I've made that particular change if I were to submit this right now they
05:31would at least see a spot and I can go ahead and do this as a revision
05:38and they'll see in that instruction what's going on now I could choose to add my new spot that starts
05:46tomorrow to a separate order if that makes sense or I can go ahead and add it to this existing
05:54order
05:54using the add spot plus sign in the upper right hand corner so if I click the plus sign
06:02oops I think I just accidentally clicked the minus sign if I click the plus sign
06:08the page reloads and I'll have a second untitled spot on the order it copied over the details from
06:16the first spot so maybe in this particular spot we're going to have our holiday ham
06:25you do your Beasley ISC code format that you're used to and then you would come down to the status
06:32because it copied the details from the original spot it says it's in a revision status but this
06:38one's not a revision it's a new piece of audio that needs to be produced so we're going to say
06:44it's needs
06:45production got our length and then we get down to the date information we're going to make this due
06:52today because it's starting tomorrow but I do need to update my start date to tomorrow and then update
07:00whatever the accurate end date information if it's going to follow the same flight as the original spot
07:06that we ended that was going to that end on 12 8 we've got our radio stations and once again
07:13we can
07:13copy paste our script in here whatever new copy content that we happen to have so that's the way you
07:21deal
07:22with a revision for a spot that is on air you want to go in to the original spot that's
07:28got a history
07:29it's been on air and use the revision process to end date that earlier than planned then you can use
07:38the plus sign to add a new spot the replacement piece of audio but change the status of needs production
07:45and
07:46change any other details that are different on that particular entry so it's tied together in this
07:52nice neat little package with two spots on the same production order if you will the original one that
07:59ended earlier than planned revision process the replacement spot that happens to be in the needs production
08:07status we're going to talk about extend dates next and the easiest way to deal with those
08:14if you have content that happens to be expiring it's coming to an end soon you can find that in
08:21a couple of ways
08:22you have an expiring folder which looks out 7 to 14 to 21 days however many days in advance you
08:31want to look
08:31the default happens to be 14 days i personally prefer 7 or 8 days something you can adjust in your
08:38my account settings
08:39by clicking that folder i can see this spot for the house of beer mugs in the december sale and
08:45it's going
08:46to be ending coming up here in a few days the client says this thing is working great let's keep
08:51it on air
08:53no need need to stop but i can choose to extend this same check box on the left hand column
08:59and the extend
09:01tile at the top of the page now with extend dates you get the same to-do list but you
09:06get an instruction
09:07that's specific it says get the spot a new end date and submit so a couple things about extend dates
09:13it these are best used with spots that are current and on air it didn't end six months ago that's
09:20not an extend dates
09:21current on air and i'm not changing the copy i might have a new contract number um but but beyond
09:29that it's virtually the same thing
09:31so you click the client name to open the order from this screen when the page loads it's going to
09:37ask
09:38for a new end date notice the end date is blank and it gives you hey the end date's missing
09:44we would
09:45suggest you change only the end date don't treat this like a new flight saying oh it's going to run
09:5212 9
09:53through 12 15 now treat it like you're just moving the date the end date out because if it goes
10:00through the
10:00auto build process for example it could kill the audio that's on air for the next few days so you
10:06don't want to mess with that start date you simply want to adjust the end date so they said they
10:12wanted
10:12to run an extra week so we pushed it out to 12 15. if you had a new contract with
10:20this you could with a
10:22comma and a space add the new contract information to the order if you're doing that i would definitely
10:28recommend a traffic note down below just flagging the fact that you've added you're adding a new
10:37contract to the order it's just an extra precaution to make sure traffic continuity is aware that's an
10:44there's an additional contract most likely they are but that would be very very helpful for the the
10:50traffic continuity support staff so that's the best use of extend dates content is current it's on air
10:57you have selected that spot you've given it a new end date leaving the other dates alone adding a new
11:06contract number if necessary and then submitting it comes back around for traffic and production so they
11:12can adjust the dates accordingly in in the traffic instructions and in the automation system if you had
11:20a spot that ran six months ago and you wanted to bring it back to life you probably don't want
11:28to
11:28use extend dates that's the one place where the copy process would make the most sense you would use your
11:34search menu to go find that particular client it's very easy to use hopefully you found this tool to
11:41to be a very friendly tool you can select from the client drop down and search you can use other
11:46factors if
11:47you want to but usually client name works really well and then you can scroll back through the history
11:53to find older content that you may want to reuse and once you find that spot
12:01you can go ahead and use the selection box here and then you can copy that content when you copy
12:10it will
12:11ask if you want the original files copied to the new spot you would typically say yes there's no
12:18reason to copy an old production order unless you want to bring the final spot over the other option
12:24and then two is if you don't want to go through the process
