00:00Welcome to Introduction to Project Management.
00:03Projects are everywhere.
00:05Behind every new product, every system upgrade, every organizational change,
00:11there's a project driving it forward.
00:14But having a great idea is only the beginning.
00:17Knowing how to manage it is what makes the difference.
00:21In this course, we'll start by understanding what a project actually is
00:26and how project management turns goals into real, delivered outcomes.
00:31From there, we'll look at how projects fit into a larger picture within programs and portfolios
00:38and how that connects to the overall direction of an organization.
00:43We'll also explore how governance works at both the organizational and project level
00:49and why that alignment matters for making the right decisions at the right time.
00:54And we'll go beyond just delivering on schedule,
00:58looking at how success is truly measured through the benefits a project creates.
01:04Finally, we'll cover the people side of project management,
01:08the roles, responsibilities, and the mix of knowledge, skills, and abilities
01:13that effective project professionals bring to the table.
01:17This is your starting point. Let's get into it.
01:22So, what exactly is a project?
01:25A project is a temporary endeavor undertaken to create a unique product, service, or result.
01:31And when we say temporary, we don't mean short.
01:34We mean every project has a definite beginning and a definite end.
01:38A project ends when its objectives have been achieved.
01:41But it can also end when those objectives can no longer be met
01:45or simply when the need for the project no longer exists.
01:48In any of these cases, the decision to terminate a project isn't taken lightly.
01:53It requires approval and authorization from the appropriate authority.
01:57This is what sets projects apart from ongoing operations.
02:01They are focused, bounded, and purposeful,
02:04designed to deliver something specific, then close.
02:07Now that we understand what a project is, let's talk about how it's managed.
02:12Project management is the application of knowledge, skills, tools, and techniques
02:18to project activities in order to meet project requirements.
02:22It's about bringing the right processes together at the right time.
02:26In practice, this covers a wide range of responsibilities,
02:30identifying what the project needs to deliver,
02:33understanding the needs and expectations of stakeholders,
02:37maintaining active communication,
02:39and ensuring the right resources are in place throughout.
02:43But managing a project also means constantly balancing competing constraints.
02:48These include scope, schedule, cost, quality, resources, and risk.
02:55And they don't exist independently.
02:57Pull on one and the others feel it.
03:00Expand the scope and the schedule or cost adjusts.
03:03Cut the budget and quality or resources are affected.
03:07There's no universal formula for getting this balance right.
03:11Every project is different,
03:13and its circumstances will shape how these constraints are prioritized
03:17and how management processes are applied.
03:21That's what makes project management both a structured discipline
03:24and a practice that demands real judgment.
03:29Projects rarely exist in isolation.
03:31Most of the time, they sit within a larger structure,
03:35and understanding that structure is key to understanding
03:38how organizations manage work strategically.
03:41At the broadest level, we have portfolios.
03:44A portfolio is a collection of projects, programs,
03:49subsidiary portfolios, and operations
03:51managed in a coordinated manner to achieve strategic objectives.
03:56Portfolio management is about ensuring that everything within the portfolio
04:00is performing in line with what the organization is trying to achieve
04:04and continuously evaluating where resources are best allocated.
04:09One level down, we have programs.
04:12A program is a group of related projects,
04:16subsidiary programs, and program activities
04:18managed together to obtain benefits
04:21that wouldn't be available if they were managed separately.
04:24In other words, the whole is greater than the sum of its parts.
04:28Programs also include work that sits outside the individual projects within them,
04:33activities that support and connect everything together.
04:37So think of it this way.
04:39A project delivers a specific output.
04:42A program coordinates multiple related projects to deliver a shared benefit.
04:47And a portfolio brings together programs, projects, and operations
04:52to drive the organization's overall strategy.
04:55Each level serves a different purpose, but they all work in the same direction.
05:01When projects are grouped into programs,
05:04managing the connections between them becomes just as important
05:07as managing the projects themselves.
05:09These interdependencies can take many forms.
05:12It might mean resolving resource conflicts
05:15when multiple projects are competing for the same people or materials.
05:19It might mean ensuring that everything stays aligned
05:22with the organization's broader strategy as goals and priorities shift.
05:27It also involves managing issues and change
05:30within a shared governance structure
05:32so that decisions made in one part of the program
05:35don't create problems elsewhere.
05:38Risk is another key consideration.
05:40A risk that starts in one project
05:42can quickly ripple across others within the same program.
05:46And underpinning all of this is benefits realization,
05:50carefully analyzing, sequencing, and monitoring
05:53how the components of a program work together
05:56to deliver the outcomes that matter.
05:58It's also worth noting that not every project
06:01lives inside a program or portfolio.
06:03A project can be managed in three different scenarios,
06:06as a standalone project operating independently
06:10outside any program or portfolio,
06:12within a program where it contributes
06:15to a broader set of related benefits,
06:17or within a portfolio where it forms part
06:20of the organization's strategic investment.
06:22Each scenario shapes how the project is governed
06:26and how it interacts with the wider management structure around it.
06:29is very keen on it.
