00:00Welcome to Unified Consulting Solutions, where we simplify complexity and amplify performance.
00:05Now, what if I told you the secret to saving hundreds of thousands of dollars
00:09wasn't in some brand new technology, but in how you organize a simple toolbox?
00:14Today, we're diving into 5S, a system that might look like basic housekeeping on the surface,
00:18but is actually an incredibly powerful engine for success.
00:22So, if you're thinking this is just about cleaning up, I want you to think again.
00:26We're about to uncover how 5S is really a system for thinking,
00:30a core lean method for hunting down and eliminating all that hidden waste,
00:34and really, the essential foundation for building a culture of continuous improvement,
00:38everywhere from a massive construction site to your own office.
00:41So here's our game plan for today.
00:44First, we're going to look at the real, tangible cost of chaos.
00:47Then, we'll break down the five pillars that make up the 5S solution.
00:52After that, we'll get into the proof,
00:53figure out how to make these changes actually stick for the long haul,
00:56and then map out your next step toward excellence.
01:00All right, so first things first, why do we even need a system like 5S?
01:05Well, it's because chaos.
01:07And I mean, even that low-level, everyday disorganization that we've all kind of learned to live with,
01:11it has a staggering cost that most businesses don't even realize they're paying.
01:16I mean, just take a look at these two pictures.
01:18On the left, you've got a work site that's basically a minefield
01:21of tangled cords and scattered materials.
01:24And on the right, a clean, clear workspace where everything is managed, organized, and out of the way.
01:29The visual difference is, well, it's night and day.
01:32So I have to ask you, which site do you think is safer?
01:36Which one is more productive?
01:37And maybe the most important question of all,
01:39which one shows more respect for the people actually doing the work?
01:43The answer is obvious, right?
01:44But the implications here run so deep.
01:47Disorganization isn't just ugly.
01:48It's actively wasteful and dangerous.
01:52And that chaos you saw, it's not just messy.
01:54It represents real, hidden costs that are bleeding businesses dry.
01:58We're talking about excessive inventory.
02:00You know, all the stuff you think you need, tying up capital and precious space.
02:05Wasted motion.
02:05That's all the time people spend just searching for tools or walking around clutter.
02:09And all that searching?
02:11It leads directly to defects and rework.
02:13And of course, the big one, constant safety hazards.
02:16This is the daily reality that 5S is designed to tackle head on.
02:20Okay, so if that's the problem, what exactly is the solution?
02:24Well, it's a system.
02:25A system designed to bring order, efficiency, and honestly,
02:29a powerful new way of thinking to the workplace.
02:31And this is it.
02:335S.
02:34Let's be clear, this is not a one-time cleanup event.
02:37It is a core lean method, a systematic way of thinking,
02:40that gives everyone the power to see and eliminate waste.
02:42So by the end of this explainer, you're going to understand exactly how this five-step process
02:48can dramatically improve safety, boost productivity,
02:51and build that crucial foundation for a true culture of excellence.
02:55So let's get into the mechanics of it.
02:585S is built on five distinct pillars.
03:01Think of them as five sequential steps that build on each other
03:04to create this really powerful system of organization and efficiency.
03:08These are the five S's, which originally come from Japanese.
03:13We have sort, set in order, shine, standardize, and sustain.
03:18Each one is absolutely critical.
03:20And, you know, trying to skip a step is exactly why so many attempts
03:24at workplace organization just completely fall flat.
03:27It all starts with sort.
03:29The goal here is super simple.
03:31Get rid of everything that is not needed for the work you're doing right now.
03:34And a fantastic technique for this is called red tagging.
03:37You literally go through every single item in an area and ask,
03:41do we need this?
03:42Do we really need this many of them?
03:43And does it have to be right here?
03:45If the answer is no, it gets a red tag and gets moved to a holding area.
03:49What you're left with is only what's essential.
03:52Next up, we have set in order.
03:54Now that you only have what's necessary, you need to give it a logical home.
03:58Just look at this transformation.
04:00You go from a jumbled mess where finding the right wrench could take you minutes
04:04to a perfectly organized toolbox where every single item has its own designated home.
04:10The whole goal is to make searching a thing of the past.
04:13You know, this classic saying perfectly captures the spirit of set in order.
04:18It's all about creating a visual, intuitive system.
04:22The items you use most often, they're kept closest to where you use them.
04:25You use labels, shadow boards, floor markings,
04:28all so that it's not only easy to find things,
04:31but it's immediately obvious when something is missing or just out of place.
04:35The third pillar is shine.
04:38And listen, this is so much more than just cleaning.
04:40The idea is to clean to inspect.
04:43Think about it.
04:44When a machine is spotless, you can instantly see a brand new oil leak.
04:47When a floor is totally clear, a misplaced part just stands out.
04:50It turns every single team member into a proactive inspector.
04:53And that leads us right to pillar number four, standardize,
04:57which is all about locking in the progress from those first three S's.
05:00This is where visual controls, like the board you see here, come into play.
05:04They create simple, clear rules and checklists that make the new organized way
05:08the only way of doing things.
05:10It just becomes the new normal.
05:12Okay, this all sounds great in theory, but what about the results?
05:15Let's look at the real world impact that a disciplined 5S system can have.
05:19Because honestly, the numbers are truly impressive.
05:22Get this.
05:24Take this example from PCL Construction.
05:27Just by applying 5S principles to organize their fleet of work trucks,
05:31they saved $420,000.
05:34That wasn't from some fancy new software.
05:36It was simply from better organization.
05:38They reduced duplicate tool purchases
05:40and completely eliminated all that time wasted searching for items.
05:44And here's another powerful metric.
05:47A pilot study in a construction storehouse found that after implementing 5S,
05:51the average time it took to find and retrieve an item was cut in half.
05:56A 50% reduction.
05:57Just imagine scaling that efficiency gain across an entire organization.
06:02And the data proves it.
06:03Look at this graph.
06:04It shows the handling time for a specific task before and after 5S.
06:09You can see not only did the average time plummet, but the variability,
06:12that gap between the fastest and slowest times, it shrank dramatically.
06:16This means the process became not just faster, but way more predictable and reliable.
06:21So we've seen the problem, the solution, and the proof.
06:25But here comes the hardest part, and it's the final, most crucial pillar.
06:29Sustain.
06:30This is where most initiatives, frankly, fall apart.
06:33I absolutely love this metaphor.
06:37Without active, conscious effort, any system will naturally revert to chaos.
06:41The pull of old habits is incredibly strong.
06:44Just cleaning up one time isn't enough.
06:46You have to have a system to maintain that new standard.
06:49So the big question is, how do you fight that rubber band effect?
06:53Well, the answer lies right here.
06:55In this sustainability triangle.
06:57To make 5S stick and really drive a true lean culture, you need three things.
07:01First, standardized work.
07:04Clear processes that define the new way of doing things.
07:06Second, visual control.
07:08Making the status of the work and any problems immediately visible to everyone.
07:12And third, accountability management.
07:14Regular checks, audits, and coaching from leaders to make sure the standards are being followed
07:18and to help teams continuously get better.
07:20So we've journeyed from the high cost of chaos all the way to a system that brings control
07:26and a framework for making it all last.
07:29Let's wrap up with the key things to remember.
07:31Always remember, 5S is so much more than just housekeeping.
07:35It is a foundational system for success.
07:37It directly improves safety and gets rid of those hidden wastes that are draining your
07:41resources.
07:42It creates a visual workplace where problems have nowhere to hide, which naturally boost
07:46productivity.
07:47And most importantly, sustaining 5S isn't the end goal.
07:50It's the beginning of a true culture of continuous improvement.
07:53So I'll leave you with this question to think about.
07:56Look at your own workspace, whether that's your desk, a shop floor, or even a digital
08:00folder on your computer.
08:02Where is the chaos costing you time and energy?
08:05Where can you apply that first simple step, sort, and start building your own visual workplace
08:10tomorrow?
